Terms of Service

Last updated September 2026

1. Agreement to terms

These Terms of Service ("Terms") govern your access to and use of AssessFlow (the "Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

2. Scope of service — fitness coaching, not medical care

AssessFlow is an educational movement programming assistant designed for certified fitness and movement coaches, personal trainers, and Pilates or similar movement instructors ("Coaches"). It helps Coaches record movement screening observations and generates AI-assisted movement plans and summaries for their own clients.

AssessFlow does not provide medical advice, diagnosis, physical therapy, or medical prescriptions, and it is not a substitute for evaluation or treatment by a licensed physician, physical therapist, or other qualified healthcare provider. Any output generated by the Service is a general educational suggestion only. You, as the Coach, are solely responsible for using professional judgment, operating within the scope of your certification, and referring clients to appropriate licensed healthcare providers when needed.

3. Accounts & eligibility

You must be at least 18 years old and hold (or be working toward) a relevant fitness or movement coaching certification appropriate to your practice to use AssessFlow. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

4. Subscription & payment terms

AssessFlow offers a free tier with limited assessments and a paid "Pro" subscription billed monthly. Payments are processed by our third-party payment processor (Paddle); by subscribing, you also agree to that processor's applicable terms. Subscriptions renew automatically each billing cycle until cancelled. You may cancel at any time from your account settings or by contacting support; cancellation stops future renewals but does not automatically refund the current billing period — see our Refund Policy. We may change subscription pricing with reasonable advance notice.

5. Your content & intellectual property

You retain ownership of the client data, notes, and other content you input into AssessFlow ("Your Content"). You grant us a limited license to host, process, and display Your Content solely to provide the Service to you. AssessFlow, its logo, and the underlying software are owned by us and protected by intellectual property law; nothing in these Terms grants you rights to our brand, software, or generated report templates beyond what's needed to use the Service.

6. Client consent & your responsibilities

You are responsible for obtaining any consent required from your own clients before recording their information in AssessFlow, and for complying with applicable law in your jurisdiction and professional scope of practice. You agree not to misuse the Service, including attempting to access other Users' accounts or client data, reverse-engineering the Service, or using it to provide medical diagnoses or treatment.

7. Disclaimer of warranties

The Service, including any AI-generated content, is provided "as is" and "as available" without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy, or non-infringement. AI-generated movement plans and summaries may contain errors and should always be reviewed using your professional judgment before use with a client.

8. Limitation of liability

To the maximum extent permitted by law, AssessFlow and its affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill, arising from your use of the Service. Our total aggregate liability for any claim arising out of these Terms or the Service is limited to the amount you paid us in the twelve (12) months preceding the claim.

9. Termination

We may suspend or terminate your account if you violate these Terms or misuse the Service. You may stop using the Service and close your account at any time. Provisions that by their nature should survive termination (including intellectual property, disclaimers, and limitation of liability) will survive.

10. Changes to these terms

We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date above, and continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

11. Governing law

These Terms are governed by the laws applicable in the jurisdiction in which AssessFlow is registered to do business, without regard to conflict-of-law principles, except where mandatory local consumer protection law provides otherwise.
